The RoleUnder the direction of the Event Sales Manager and Director of Events, the Catering Coordinator is responsible for accurately servicing all catering food/beverage orders, organizing/maintaining all suite holder information and assisting the suites event day operations as needed.:Company Overview:Legends is a holistic agency that specializes in delivering solutions for legendary brands. Position Summary

Under the direction of the Event Sales Manager and Director of Events, The Catering Coordinator is responsible for planning, coordinating, and executing catering events from contract execution through event completion. This role serves as the primary liaison between clients, vendors, and internal teams to ensure all event details are communicated clearly and executed flawlessly.

Key Responsibilities

Event Planning & Coordination

  • Serve as the main point of contact for clients after contract execution.

  • Confirm and document all event logistics, including menu selections, floor plans, run-of-show (ROS), vendor details, and vehicle access.

  • Create and maintain Banquet Event Orders (BEOs); update and distribute to all relevant internal teams.

  • Collaborate with internal departments to ensure feasibility and alignment with client expectations.

  • Act as liaison between the venue, corporate teams, and parks department to coordinate event logistics.

Event Day Execution

  • Act as the on-site lead and primary client contact during events.

  • Manage last-minute changes and client requests with professionalism and efficiency.

  • Coordinate with internal teams to ensure seamless execution of all event elements.

Administrative & Operational Support

  • Issue vehicle access permits and ensure all internal teams are updated accordingly.

  • Lead weekly BEO meetings to review upcoming events and align team responsibilities.

  • Coordinate with external vendors to confirm logistics and delivery timelines.

Required Skills & Qualifications

  • Excellent Communication: Ability to clearly communicate with clients, vendors, and internal teams.

  • Strong Organizational Skills: Capable of managing multiple events and tasks simultaneously.

  • Problem-Solving Abilities: Quick thinking and resourceful in resolving issues during planning and execution.

  • Attention to Detail: High level of accuracy in managing event logistics and food preparation details.

  • Interpersonal Skills: Professional, approachable, and collaborative with clients and colleagues.

  • Industry Knowledge: Solid understanding of catering operations, event planning, and food safety standards.
